• RENOVATIONS, AC OR POOL:  Let us know when you complete a renovation, purchase new appliances, furnishings, or update any amenities.

• SERVICE PROVIDERS:  Let us know when you change your cleaner, caretaker, or trash service.

• PHOTOS: If you have new photos of your home, please send them to us.

• IMPORTANT DOCUMENTS:  Be sure that our office has a current contract, W9, and lead paint form (if your home was built prior to 1978). 

RATES:  Setting your rates is an important key to maximizing your rental income.  If you need advice or think you should adjust your rates, please contact us and one of our experienced agents can guide you in the right direction. 

TURN-OVER CLEANS:  The cost of turnover cleans should be included in your rental rate.  As a general rule of thumb, allot one hour of cleaning per bedroom, plus one additional hour (i.e. a 4 bedroom house should = 5 hours of cleaning). Any excessive cleaning about that number will be deducted from the security deposit.

OFF SEASON LONG WEEKENDS & HOLIDAYS:  If you want to rent for long weekend or holidays in the off season, let us know your nightly rate and minimum stay requirement (for example 3 night minimum stay). The shoulder seasons have become very popular on Nantucket and this is another opportunity to increase rental revenue. 

WIRELESS WIFI:  Wireless, high-speed internet service is now a required amenity for all of our tenants.  Please be sure your wifi is set up and working and that you have posted your network name and password on the refrigerator.  

AIR CONDITIONING:  Air Conditioning has become another “MUST-HAVE” on tenants' lists when selecting a property.  Even if you think you your property doesn't need A/C, we are recommending that all of owners at least install window units in the bedrooms.

EXTRAS!  The number of rental properties on Nantucket has greatly increased over the past few years. Any “extras” that you offer will make your home more desirable. This past season, tenants most often requested and selected properties offered the following amenities:

• Wireless Internet service

• Air conditioning (at least window units in the bedrooms)

• Flat screen TVs with premium cable service

• New sheets, pillows, towels and mattresses

• iPod docking stations

• New/clean gas grills with a full back-up tank

• Nice beach chairs and towels for at least the number of people your house sleeps

• High quality outdoor patio furniture with an umbrella if your table accommodates one

• Accept pets  

STOCK UP:  Keep your house stocked with plenty of paper towels, toilet paper, clean trash bags, cleaning and laundry supplies. This includes a fresh, unopened kitchen sponge near the sink, unopened bar soap in all baths/showers, and full dispensers of liquid hand soap at each sink. You should advise your cleaner or caretaker to re-stock these items at every turn-over.

OUTDOOR LIVING MATTERS! Include your outdoor living space in your turn-over cleanings. Make arrangements with your cleaner/caretaker to clean/rearrange the patio furniture, clean the grill and make sure there are 2 full gas tanks on hand, clean the outdoor shower, coil up any hoses, and sweep the patio and/or deck. Tenants often spend more time using the outdoor living space so they are looking for homes with more attractive outdoor amenities.

General

The data reflects data pulled from Barefoot as of 10/31/2016.

We are working on date formats, there are instances where the date is formatted, 2016-12-12 for example.

Properties 

Properties List Page

Search By Address, ID, Dates, # of days required, Price, Area

Amenities Filter Click on the Custom Headers Amenities filter button to show amenity checkboxes.  Select the amenities and hit "search". The properties shown will show properties with at least one of the amenities selected. The "amenities filter" button will turn red after searching to indicate that amenities have been selected.

Filter results (left hand column).  Filter search results by selecting items such as number of baths, beds etc. Filtered results happen instantly without needing to hit the button.

Select Prospect:  To attach a prospect to a search click on the "select prospect" field. You can search for an existing prospect or create a new one. To add a prospect click on the button in the select prospect window, fill out the fields and click , your new prospect is now available to select. Once selected the window will close and your prospect is in the "select prospect" field.

Once a prospect is selected you can save searches for that prospect and when you create a new lease the selected prospect will be used.

Saving Searches:  Once a prospect is selected you can save a search for future use. Simply select a prospect, add search criteria and click the button. *This button is only available when a prospect is selected.

Retrieving Saved Searches:  If no prospect is selected and you click the blue Saved Searches button a list of saved searches for the agent appears. This list includes the last saved search for each prospect. If a prospect has been selected this list will show all saved searches for only the selected prospect.

To load the saved search click on the button next to the desired search. You can also delete a saved search by clicking on the red x next to the desired search.

# of Properties Per Page: Select the dropdown to the left of the group by dropdown to select the number of property results per page.

Group By: Select this to group results within the sorted table. For example if the table is sorted by area, you can select group by beds to sort the # of beds with an area.

Clearing a search: Clicking the clear search button will remove all search criterias including the selected prospect.

Show Checked: To the left of each property is a check box. You can select these and click the show checked to only show properties that have been checked. To go back to showing unchecked properties click on the show all button.

Bcc Owners: You can blind copy multiple owners via email by checking off the desired properties and clicking the green Bcc Owners button. This will bring up your email client with the property owners email populated within the bcc field.
*You must have Email Owner selected within the custom headers for this to work.

Email Checked: This allows you to send a link to a prospect with selected properties. The link is for a page on the public website that shows the agent contact information and the selected properties.  When properties are selected and the button is clicked you email client appears with the link in the body of the email.

Custom Headers: Custom Headers This allows you to customize the property results table to show only the field you would like to see.  To do this click on the blue custom headers button, select or deselect the desired fields and click apply. The results will be stored within your browser for future use.

Sorting the table:  The results table can be sorted by simple clicking on the column header.

Viewing a property:  Click on the property address to bring up the property details window. This window shows the property calendar, images, details, etc. You can edit the property from within this window.  Clicking the next or previous button will bring up the next property in the sorted table list.

You can also view/edit a property by checking it off in the table and clicking the edit button on the top of the page. This will bring up the property in its own window.

Creating  a lease from the properties page: You can select the green create lease button located in each row of the property, this will initiate the lease creation process for that property.

Properties Edit/View Page

The properties edit/view page contains all of the data related to the property seperated by tabs, by default the calander tab is initially viewed.

The calendar and images update instantly. Any other changes will not be saved until the save button is clicked. If you try and leave the page with unsaved changes a warning message appears. 

Right Hand Column: 

Status: Published means that the property is acitve, unpublished is inactive. 

Modified date and modified by is automatically updated if the property or the calendar is edited. 

Created By: is the user that created the property *Important, this is not necessarily the listing agent for this property, the listing agent is set in the "agent" field in the availability/pricing tab.

Created Date: date created

Homeowner Doc Signed: If left blank a warning shows when creating a lease that the docuements have not been signed.

Show On Website: This enables the property to be seen by the public on the website. 

Details Tab:

Shows property details including bed types and floor, pool, views, and amenities.
Arrival and Departure: If the arrival and departure is not set it will revert to the default 9am departure and 3pm arrival in the lease.
Amenities: The amenity checked boxes show in the property details on the website and are also used in searches.  

Images Tab:

This tab allows you to add, delete and move images.

Moving Images: Drag and drop images in the order you would like them to appear.

Deleting Image: Click on the - sign below an image to delete.

Adding Existing Image: If the image has already been uploaded click on the green add avaiable image button. Search for the image by file name (usually the property id) and select. 

Uploading Images: To add new images click on the add files button, find the image located on your computer. You can select multiple images to upload at once. Once added hit the start upload button. You can add large files (the max is 10000kb) and the system will shrink/optimize it automatically to the default size. One the file is uploaded it will appear in the photos list, you will need to place it accordingly.

Calendar Tab

This tab shows the availability calendar for the property and basic property details (may change this location). 

Important: When blocking dates select that actual first and last day available. The beginning and end of leased and blocked dates are indicated by half of the date being filled in. 

Setting Rates: On the calendar select the date range to change or add new rates. Enter the weekly rate and click set rate. 

Make available: Select the date range and click Available. The system will not let you make leased times availble, only owner and other office times.

Other Office and Owner Time: Select the date range on the calendar, click either other office or owner time. *You cannot add owner time in the middle of an other office block and vice versa. You need to make the entire block availble then seperate the blocked times.

Turnover Day: Select to change the turnover day

Calendar Update and Updated By: The is automatically updated when the calendar is changed. 

Leases: Hovering over green lease dates will show the lease id and the lease amount. 

Dates: The default months shown are June to August of the next year. You can scroll through months by clicking the arrows on the calendar. You can change years by selecting the year.

Below the calendar are property basics such as beds, description etc. 

Notes: Add and read notes related to that property

Cobroke: If this is a cobroke property and the button is changed to "yes" you have the option to input the agency and agent.

Agent: This is the listing agent for the property.

Services Tab

This table lists all of the servies associated with that property.

Add an existing service: Click add a service, in the new window search for the desired service provider and select.

Add a new service from within property: Click add service, in the new window click "New", fill out the form and click save, then click close. Reclick "add service" and find your newly added service.

Delete Service: Click the delete button next to each service.

Provisions Tab

The provisions tab show the provisions for that property used in the lease.

Standard Provisions: Checking the provision will make it a standard provision on all leases for this property. This can be changed in the lease creation. Some standard provisions require and input such as # of pets.

Custom Provisions: You can add a custom provision that is not included in the standard provisions by click "add custom provision" and filling out the fields. The provision will appear on all leases for the property.

Map Tab:

This tab lets you customize the map location for the property.  

Setting the location: The marker is set by long and lat and is created automatically when the property is created.  You can drag and drop the marker if the map is innacurate due to some island addresses not registered with google.

Hide Map: If showing the map on the website is not desired click "no" on show map.

Leases Tab

Shows recent leases for the property. 

Show all leases: if you want to see all the leases for a property click "view all leases". This will go to the lease list page and show all the leases for that property.

Prospects

Prospect List Page

To view prospects click on “prospects” in the menu bar at the top of the page.

Use the search field to find prospects by name, email, phone, address etc. If the search field contains any previous inputs, select it and click the x to clear it.

Filter results (left hand column).  Filter search results by status and agent.

# of Prospects Per Page: Select the dropdown to the left of the group by dropdown to select the number of results per page.

Group By: Select this to group results within the sorted table.

Show Checked: To the left of each prospect is a check box. You can select these and click the show checked to only show prospects that have been checked. To go back to showing unchecked prospects click on the show all button.

Owners

Owners List Page

Top Search Fields

Search by id, tenant, etc

Arrival Dates: If arrival/departure dates are made available in the custom headers you can search for leases based on arrival and departure dates.

Contract Dates: If contract dates are made available in the custom headers you can search based on contract date.

Payment Dates: If Next payment due is selected in custom headers you can search for the next due date of a lease. In the table the results will show the due date and amount of the next payment regardless if the lease status. Only leases with an amount due will show in the results. 

Show Checked: To the left of each lease is a check box. You can select these and click the show checked to only show properties that have been checked. To go back to showing unchecked properties click on the show all button.

Left Hand Filters

Status: Filters leases by status such as late, complete, current, deposit return required, request to cancel, cancelled. Lease status is updated daily.

Agent: Filters by lease agent

Owner: search and filter by owner

Table

Creating A New Lease

Still working on this section of help.

Step 1

The most common way to start a lease is to click on the create lease button from the properties list page or the properties detail page. This will start a lease for the relevant property.  If a prospect is selected in the property list page, the prospect will be used in the lease along with the property.

After clicking start lease you will be taken to step 1 of the lease creation.

Property Field: The property field will have been automatically completed.  You can change the property by clicking the search button next to the property field.

Prospect Field: The prospect Field will be automatically completed if a prospect was selected in the property field. To add or change a prospect select the icon next to the prospect field and search/select your prospect. You can also create a new prospect from this window.

Select the exact arrival and departure dates. This will calculate the lease total in the field.

Arrival and Departure Dates: On the calendar select the exact arrival and departure dates for the lease. This will cause the lease total to be calculated. The lease is calculated according to weekly price and turnover date. If the tenant stays over a second turnover date, another week is added to the lease price. Lease totals can be adjusted in step 2 of the lease.

Arrival and Departure Time: This is set by the property default.  This can be changed or if no default is set you can add the times.

Step 2

Once the fields have been inputted you can proceed to step 2 of the lease by clicking the Continue Lease Creation Button which will bring up lease details and calculations.

Lease Details

Address: Clicking on this will bring up the details of the property

Tenant: Brings up the prospect details

Owner Email: Brings up your email client with the owners email

Owner:  Brings up the owner details

Lease Totals:

The lease totals are automatically calculated according to the dates set in step one. These can be changed to reflect customized rates and terms. If needed, after changing the original total can be reverted to by clicking reset.

Payments:

Payments Due:

When the lease is initially created default scheduled payments with due dates are setup. Users can change amounts, dates, delete and create new scheduled payments.

The following rules apply

  • The scheduled rent payments must equal the total rent (including service fee)
  • The scheduled security deposit must equal the security deposit
  • The security deposit return scheduled must equal the security deposit.
  • Rent payments are always listed first by due date followed by the sec deposit the the deposit return.
  • The balance due for each payment is automatically calculated based on the received payments for that payment type.
  • If a scheduled payment has a green background it has been paid in full.
  • If a scheduled payment has a white background it has not yet been paid but it is before the due date.
  • If a scheduled payment has a pink background it is late.

The initial payments due are calculated based on initial lease totals.

Default Payment 1 is set to 50% of Rent plus the service fee. The due date is set for 1 week from the lease creation date.  If the start date of the lease is more than 45 days from the contract date, the due date is 1 week from contract date. If  the start date of the lease is within 45 days the due date is due on the contract date.

Default Payment 2 is set to 50% of the rent.  If the start date of the lease is more than 45 days from the contract date, the due date is 45 days from contract date. If the start date of the lease is within 45 days the due date is due on the contract date.

Default Security Deposit is 10% of the rent.   If the start date of the lease is more than 45 days from the contract date, the due date is 1 week from contract date. If the start date of the lease is within 45 days the due date is due on the contract date.

Default Security Deposit Return is 10% of the rent and must match the Security Deposit. The due date is set to 60 days after the departure date on the lease.

Schedule payments can be deleted by click on the red x button in the payment row.

To schedule a new payment click on the schedule new payment button. This will add a payment to the bottom row. Click on the payment type to set the type. After any changes are made to the payment the payment will sort itself in the table according to type and due date. Changing the due date will move the payment up or down in the list.

Once you are satisfied with the scheduled payments click the save/calculate button. This will save the lease into the system.

Provisions

The provisions section lets you add standard and custom provisions to the lease.

Standard provisions:  Select the provisions you want to include in the lease. Some provisions have value fields, such as # of pets. If a provision is set/checked in the property editor for the property attached to the leases, then that provision will already be checked. This is also true of the provision value.

Custom Provisions: You can add any custom provision by clicking add new custom provision and adding the title and language. The custom provision will appear at the bottom of the lease under additional terms labeled a, b, c etc. If a custom provision is set in the property editor for the property attached to the leases  it will automatically appear.

Important! If any changes are made to the provisions you must click save in order for the changed provisions to appear in any newly created lease documents. (will develop a warning)

Lease Documents

Once all the details and scheduled payments have been set and saved you can create the lease documents to be sent to the tenant and homeowner through Docusign.

!Important: Once a document is created it cannot be changed. If changes are made to the lease in MPRent, the documents will not change. The documents reflect the data from MPRent at the time it was created. If changes are made in MPRent, the old lease needs to be voide or deleted and a new one created.

Click on the lease documents tab and click create document. The will bring up a window where the recipients and email details are added. All of the items are prepopulated with information from the lease. These can be edited.

!WARNING  The system is active and will send documents/emails so when testing be sure to change the homeowner and tenant emails.

After filling out the form click submit. It takes a few seconds as it builds the documents.

Once created the window will close and you will see the document in the list. You now have the choice of voiding, sending and downloading.

Voiding the document will permanently void only that particular lease document, not the lease itself.

Download creates a PDF of the cover letters and lease.

Send This brings up the preview screen in Docusign where you can preview the cover letters and lease. You can view/edit the recipients by clicking on the dropdown in the upper left corner and select edit recipients. If you need to get out of this window before sending click “other actions” and click “discard”.

Once reviewed click “send” in the right hand corner.  This will close the window and change the document status to “sent” and remove the send button.

The Docusign Emails

The emails arrive to the recipients in signing order. Only the tenant receives the tenant cover letter and only the owner receives the owner cover letter.

  • The tenant receives the tenant cover letter and lease via email with a link enabling them to electronically sign through Docusign.  It is a very simple process and no account is required. They have options to download, decline or print and sign.
  • Once the tenant signs the document the agent is then emailed to initial the document through the same process.
  • Once the agent initials the document the owner then receives the owner cover letter and the lease to electronically sign through Docusign.  It is a very simple process and no account is required. They have options to download, decline or print and sign.

Once all parties have signed the document all recipients receive notification and a copy of the signed lease via Docusign Email.

After any party has signed the document, their signature will appear on the download copy available in MPRent.

From the docusign email/lease a user can decline to sign and add reasons. This notifies the agent via email.

If all parties have signed the lease the lease is complete and the document cannot be voided.

The Status of the lease document is checked every hour.

Status Categories

Voided: The document has been signed

Completed: All parties have signed the agreement

Sent: The documents have been sent

Declined: One or more of the parties has declined to sign the document

Signed: At least one of the parties have signed the document.

Deleted: This must be done within the Docusign administration.
